Cancellation Policy

Effective Date: May 12, 2025

The Equality Pathway Initiative (“TEPI,” “we,” “our,” or “us”) values the time, commitment, and support of our community members, donors, partners, and participants. This Cancellation Policy outlines the terms related to cancellations of events, programs, services, sponsorships, and recurring donations.

1. Event and Program Cancellations by Participants

Participants who register for TEPI events, workshops, trainings, conferences, support programs, or other activities may request cancellation by contacting us directly.

Cancellation Timeframes
  • Cancellations made at least 7 days before the scheduled event or program may qualify for a partial or full refund, depending on the nature of the event.
  • Cancellations made less than 72 hours before the event may not be eligible for refunds.
  • Failure to attend an event without prior notice (“no-show”) may result in forfeiture of any registration fees paid.

TEPI reserves the right to determine refund eligibility in accordance with our Refund and Returns Policy.

2. Event or Program Cancellations by TEPI

TEPI reserves the right to cancel, postpone, reschedule, or modify events, programs, or services due to:

  • Low registration or participation
  • Safety or security concerns
  • Emergencies or unforeseen circumstances
  • Weather conditions
  • Public health concerns
  • Operational or organizational reasons

If TEPI cancels an event or program, affected participants may receive:

  • A full refund,
  • Credit toward a future event or service, or
  • The option to convert the payment into a donation to support TEPI’s mission.

Participants will be notified using the contact information provided during registration.

3. Recurring Donations

Supporters who enroll in recurring monthly, quarterly, or annual donations may cancel their recurring contribution at any time.

Cancellation requests must be submitted before the next scheduled billing date to avoid future charges.

Recurring donations already processed before cancellation requests are generally non-refundable unless there is an error or unauthorized transaction.

4. Sponsorships and Partnership Commitments

Sponsors and partners seeking to cancel pledged financial support or partnership commitments should notify TEPI in writing as early as possible.

Depending on the stage of planning, production, outreach, or implementation:

  • Deposits or sponsorship payments may be non-refundable,
  • TEPI may retain funds already used toward project preparation or administrative costs.

Specific sponsorship agreements may contain additional cancellation terms that supersede this general policy.

5. Volunteer and Participation Withdrawals

Volunteers, speakers, facilitators, and collaborators who are unable to participate in a scheduled TEPI activity are encouraged to notify TEPI promptly so appropriate arrangements can be made.

6. Policy Changes

TEPI reserves the right to amend or update this Cancellation Policy at any time. Any changes will become effective immediately upon publication through TEPI’s official communication channels.
